About the Role

The Administrative Assistant provides comprehensive administrative support to ensure the efficient operation of the agency. This role involves managing communications, scheduling, and various clerical tasks, contributing to the overall effectiveness of the organization.

Job Duties:
• Perform general administrative duties such as answering phones, managing emails, and greeting visitors.
• Schedule and coordinate meetings, appointments, and events.
• Prepare and edit correspondence, reports, and other documents.
• Maintain filing systems, both electronic and physical, ensuring data integrity and confidentiality.
• Assist with the preparation of reports and presentations.
• Handle office supplies inventory and order supplies as needed.
• Support the CAO/COO and other senior staff with administrative tasks.
• Coordinate travel arrangements and logistics for staff as required.
• Assist in organizing and coordinating agency events and activities.
• Manage incoming and outgoing mail and deliveries.
• Perform other clerical duties as needed to ensure the smooth operation of the office.

Requirements

Education:

  • High school diploma or equivalent required; an associate degree in business administration, office management, or a related field is preferred.

  • Additional certifications in office administration, such as a Certified Administrative Professional (CAP) or similar, are advantageous.


Previous Job Experience:

  • Minimum of 2 years of experience in an administrative or clerical role, preferably within a nonprofit, social services agency, or similar environment.

  • Proven experience in managing communications, scheduling, and performing general office tasks efficiently.

  • Demonstrated ability to be proactive and think critically, with a strong capacity to manage multiple tasks and prioritize effectively in a fast-paced environment.

  • Experience supporting senior staff or executives with administrative tasks is highly desirable.

  • Familiarity with office software, including word processing, spreadsheets, and email programs (e.g., Microsoft Office Suite, Google Workspace).

  • Experience in startup organizations or newer establishments is a plus, particularly where innovative ideas for managing office systems and processes were implemented.

  • Prior experience in organizing events or coordinating travel arrangements is a plus.

  • Experience in maintaining filing systems and managing confidential information is essential.
